Challenge

Hotel Marszałkowska Grand had a clean, well-run distribution setup on Profitroom Suite — three OTAs plus a direct booking engine — but the revenue manager was one person doing rates in a spreadsheet three times a week. The team knew there was daily upside they were leaving on the table, but they couldn't justify a full RMS licence. Two adjacent problems compounded it: WhatsApp had become the default guest communication channel in Warsaw, and the front desk was already fielding 40+ WhatsApp messages a day out of a personal phone. And Polish VAT invoicing for corporate guests was taking three hours per week to reconcile against the Profitroom reservation feed.

Solution

The hotel took three Suite Profit modules: Autopricer for rate automation, WhatsApp Concierge for guest messaging, and VAT Invoice Automation for the corporate invoicing pipeline. All three modules connect directly to the Profitroom Suite account via a single API key generated inside the hotel's Profitroom Booking Engine admin panel. Onboarding took nine calendar days total: two calls in week one to configure the Autopricer rule set, one call in week two to review WhatsApp templates, and asynchronous email for the VAT rate-map.

The Autopricer rule set is straightforward: if pace 14 days out is more than 20% behind the rolling 90-day baseline, drop BAR by up to 8%; if pickup 7 days out is more than 15% ahead, raise BAR by up to 12%. Suggestions go into a queue that the revenue manager reviews once a day, with auto-apply enabled only for the "raise on strong pickup" branch. The WhatsApp Concierge deployment covers pre-arrival (48h out), room-ready ping, and post-checkout review nudge. The VAT module rate-maps every Profitroom rate plan into an 8% accommodation line and a 23% F&B line, and issues KSeF-compliant e-invoices.

Result

Over the March–June 2026 measured window, versus the January–February 2026 baseline:

  • RevPAR +11.0% — from EUR 71.40 baseline to EUR 79.28 measured.
  • Direct booking share up 4.2 percentage points — from 22.1% to 26.3% of total bookings.
  • WhatsApp response rate 71% on the pre-arrival flow (against 18% on the previous email-only setup).
  • Front-desk time saved 6h/week — one dedicated WhatsApp inbox instead of a personal phone.
  • VAT invoicing time down from 3h/week to 15 min/week.
  • Google review volume +2.8x over the four-month window versus the four months prior.
